How TaskLoop works alongside the systems you already run

TaskLoop has no confirmed third-party integrations today. It runs operational work (requests, tasks, staff and proof) next to your PMS, CMMS, BMS and accounting tools, which keep doing their own jobs.

The short answer

TaskLoop has no confirmed third-party integrations. It does not sync with your PMS, it does not read your BMS, and it does not post to your accounting system. We say this plainly because a vague “integrates with everything” claim is what wastes most time in software evaluations.

What TaskLoop does is run the operational layer: guest and tenant requests, task assignment, the staff mobile app, escalation, photo proof and reports. The systems you already own keep running their own jobs. “Works alongside” means the two sit side by side, each the source of truth for its own data, and your people move information between them where that is needed.

What “works alongside” means in practice

Each system owns one kind of record. The table shows which system owns what and where people do the handoff.

System What it owns What TaskLoop owns The handoff in practice
PMS (Oracle OPERA, Cloudbeds, Mews) Reservations, check-in and check-out, room inventory, rates, billing Guest requests, housekeeping and maintenance tasks, who did what and when Front office or housekeeping updates room status in the PMS based on completed TaskLoop tasks
CMMS or CAFM Asset register, maintenance history, contract and space data Requests from guests and tenants, assignment, field execution with photo proof Planners use TaskLoop records when updating the asset history, or TaskLoop covers the reactive work entirely
BMS or building automation Equipment monitoring, alarms, control of HVAC, lighting and pumps The engineer’s job: investigating the alarm and recording what was done An alarm prompts the control room or engineer to log a task in TaskLoop
Accounting or finance Invoices, service charges, owner statements, supplier bills Dated evidence of the work done Finance uses TaskLoop records to support charges and approvals

With a hotel PMS

Your PMS is the system of record for guests and rooms. TaskLoop is where the work happens. A guest scans the room QR code to ask for a repair; engineering closes the task with a photo; the front office sees it is done and updates the room in the PMS. If a room must go out of order, the chief engineer opens a task in TaskLoop and the front office blocks the room in the PMS. Both systems stay correct, and nobody has to wonder why the room is blocked. Read hotel PMS vs operations software for the longer explanation.

With a CMMS, CAFM or BMS

Building teams often own a CMMS or CAFM and a BMS. The BMS watches equipment and raises alarms. The CMMS or CAFM holds the asset register and planned maintenance. TaskLoop is the layer where frontline staff receive jobs on their phones and close them with proof. When the BMS flags a chiller trip, the engineer on duty logs it as a TaskLoop task, works it and closes it with a photo. If you are unsure which system does what, read CMMS vs CAFM vs BMS.

With accounting tools

TaskLoop does not raise invoices or hold ledgers. What it gives finance is evidence: a dated, photo-backed record of each job. That is what you need behind an after-hours HVAC recharge to a tenant, a repair charged to an apartment owner or an approved contractor bill.

What about an API?

TaskLoop offers an API that other systems can use to create tasks and read their status. Until something is confirmed, plan on TaskLoop as a separate system that your team uses next to your existing tools. If a specific integration would decide your purchase, tell us which one and what data has to flow. That is useful to us and avoids surprises for you.

Questions people ask

Does TaskLoop integrate with Oracle OPERA, Cloudbeds or Mews?

No integration is confirmed. TaskLoop works alongside PMS systems such as Oracle OPERA, Cloudbeds and Mews. The PMS keeps reservations, room inventory and billing. TaskLoop handles requests, tasks and staff. Where a change has to appear in both, such as a room going out of order, a staff member updates the PMS based on what the TaskLoop task shows. We would rather tell you that plainly than promise a sync.

Will room status update automatically from TaskLoop?

No. Room status lives in your PMS and stays there. TaskLoop tracks the work behind it: the clean, the repair, the inspection, with who did it and when. Your front office or housekeeping supervisor uses that information to update room status in the PMS, the same way they do today, but with a reliable record to work from instead of a radio call.

Can TaskLoop receive alarms from our BMS?

Not automatically. A BMS monitors and controls equipment; when it raises an alarm, for example a chiller trip, an engineer or the control room logs a task in TaskLoop, assigns it and follows it to completion with photo proof. TaskLoop does not connect to BMS controllers, read sensors or switch equipment.

Is there an API?

There is no public API, and we do not advertise one on this site. If you need TaskLoop data in another system, tell us what you need and why during the demo, and we will give you a straight answer on what is possible. In the meantime, reports in the admin dashboard cover completion rates, response and completion times, staff performance and guest ratings.

Do we have to replace our CMMS or CAFM to use TaskLoop?

No. If your CMMS or CAFM holds asset registers, maintenance history or contract data that you rely on, keep it. Many teams use TaskLoop as the simpler layer for frontline staff: receiving jobs on a phone, updating them and closing them with photos. Others find TaskLoop covers what they used the CMMS for. The demo is the place to decide which applies to you.

How do we get data from TaskLoop into our accounting system?

There is no accounting integration. TaskLoop records the operational facts, such as which job was done, when, by whom and with what proof. Your finance team uses those records when they invoice an after-hours HVAC request, charge an owner for a repair or approve a contractor bill, entering the charge in your accounting tool as they do today.
