Resort operations software for teams spread across a large site

TaskLoop lets resort guests send requests from a QR code in their villa or room, lets the guest service centre assign them to the right team wherever it is on the site, and lets staff close them on a mobile app with photo proof.

The loop

How it works

  1. Request

The guest in beach villa 38 scans the QR code and asks for a buggy to the spa at 15:30 and for the outdoor shower to be checked.

  2. Assign

The guest service centre assigns the buggy run to transport and the shower to engineering, each with a deadline.

  3. Act

The buggy driver and the technician get push notifications on the staff app, accept and complete. The technician adds a photo.

  4. Rate

The guest sees both requests completed and rates the service. Anything late escalates to the duty manager.

Why resorts are harder than hotels

In a city hotel, the furthest room is a lift ride away. In a resort, it can be a ten-minute buggy ride along a beach path, past the pool, the spa and three restaurants. Every request costs time to reach, and every wrong turn costs more.

Resort teams are also bigger and more spread out: housekeeping split by villa zones, engineering covering pools, landscaping and plant rooms, a transport team running buggies, F&B outlets, in-villa dining, a spa, a kids’ club, and a guest service centre trying to keep track of all of it by radio and phone. The radio channel is busy, nothing is written down, and when a guest complains at checkout that the outdoor shower never got fixed, nobody can say who was told.

TaskLoop is built to make that coordination visible. Every request has a location, an owner, a deadline and a record.

How a villa request flows through TaskLoop

Every request follows four steps: request, assign, act, rate.

Request. Each villa or room has its own QR code. The guest scans it, picks what they need and submits it. Because the code belongs to the villa, the request arrives with the exact location: no “the one near the second pool”. Calls and walk-ins at the guest service centre are logged in the admin dashboard, so everything sits in one list. See QR code requests.

Assign. The guest service centre or a department supervisor assigns the task to a person or a department, with a priority, a deadline and instructions: “villa 38, outdoor shower losing pressure, guest out at the spa until 17:00”.

Act. Staff get a push notification on the TaskLoop mobile app wherever they are on the site. They accept the task, update its status and complete it, attaching a photo where it helps. Completion times are recorded.

Rate. The guest sees the request tracked through to completion and rates the service.

If a task runs past its deadline, it escalates to a supervisor or the duty manager. That is the safety net a radio call does not have.

Buggy logistics

Buggies are a resort’s circulation system. Guests ask for pickups to the spa, the beach club, a restaurant or the lobby; luggage needs moving at arrival and departure; housekeeping and engineering need rides with linen or tools.

In TaskLoop, a buggy request is a task like any other. The guest asks for a pickup from villa 38 at 15:30; the guest service centre assigns it to the transport team or a named driver; the driver accepts and completes it; the time is stamped. When pickups run late, the transport supervisor sees it on the dashboard and gets an escalation. Over a few weeks, reports on response and completion times show when the fleet is stretched, typically around breakfast and sunset, which is the evidence you need for the next roster discussion.

TaskLoop does not track buggy locations or plan routes. It makes sure every pickup has an owner and a record.

Housekeeping across villa zones

Villa housekeeping does not work like corridor housekeeping. Attendants carry linen and amenities by buggy, a villa clean takes longer, and turndown has to fit around guests who come and go from the beach. An amenity request from a far villa can wait a long time if it is passed on by radio to whoever happens to answer.

With TaskLoop, the executive housekeeper and zone supervisors assign tasks to attendants or to the housekeeping team and see progress in real time. A request for extra towels in villa 38 goes to the attendant covering that zone, not to the first person on the radio. See the housekeeping feature and our housekeeping checklist by room status.

Engineering outdoors

Resort engineering covers more than rooms: pool pumps and dosing, outdoor showers, irrigation, landscape lighting, jetty fittings, kitchen equipment in several outlets, and the plant rooms behind them. Sea air and sun mean things wear quickly.

Each job is a task, assigned to an engineer with instructions and closed with a photo and a timestamp. The chief engineer sees what is open across the site and what has waited too long. When a villa has to be taken out of order, the record shows exactly which job is holding it.

One view for the guest service centre

The guest service centre, or front office, is where most resort requests start. With TaskLoop it gets a real-time view of every open request and of each department’s workload. When a guest calls to ask where their buggy is, the agent can answer from the screen: assigned to the transport team at 15:21, accepted at 15:23.

General managers and resort managers get reports on task completion rates, response and completion times, staff performance and guest ratings, by department. These are useful for the morning meeting and for seeing whether the gap between “requested” and “done” is getting shorter.

Next to your PMS

Your PMS, such as Oracle OPERA, Cloudbeds or Mews, keeps handling reservations, room inventory and billing. TaskLoop runs the operational work during the stay. It works alongside the PMS; it is not integrated with it. See integrations for what that means day to day.

Getting started

Start with the requests that generate the most radio traffic, usually buggies and housekeeping. Put QR codes in one villa zone first, route the guest service centre’s calls through the dashboard, and look at response times after two weeks. Then add engineering and the other outlets.

Pricing is quote-based and depends on your property and team. Book a free demo or read more about hotel management with TaskLoop.

Questions people ask

Does TaskLoop work for villas spread across a large site?

Yes. Each villa or room has its own QR code, so a request arrives tagged with the exact location instead of a guest trying to describe where they are. Staff receive tasks on the mobile app wherever they are on the site, with push notifications. The guest service centre sees every open request and each department's workload in real time, which matters most when the nearest housekeeper is ten minutes away by buggy.

Can we manage buggy requests in TaskLoop?

Yes, as tasks. A buggy pickup is a request with a location, a time and an owner. The guest service centre assigns it to the transport team or a specific driver, the driver accepts and completes it, and the time is recorded. TaskLoop does not track buggy positions by GPS or plan routes. It makes sure each pickup has an owner and gets done.

Do guests need to install an app?

No. The guest scans the villa or room QR code with their phone camera, submits a request, follows its progress and rates the service when it is completed. Nothing to download and no phone call needed. Guests who prefer to call the guest service centre still can, and those requests are logged in the same dashboard.

Does TaskLoop replace our PMS?

No. Your PMS, such as Oracle OPERA, Cloudbeds or Mews, keeps handling reservations, room inventory and billing. TaskLoop runs the operational work during the stay: guest requests, housekeeping, engineering, transport and F&B tasks. It works alongside the PMS rather than being integrated with it; see the integrations page for how that works in practice.

Which languages does the staff app support?

English, Arabic, Persian, Russian, Chinese and Spanish, with right-to-left layouts for Arabic and Persian. Task instructions are written by your supervisors, so they can be written in whatever language the team shares.

What does TaskLoop cost for a resort?

Pricing is quote-based. It depends on the number of villas and rooms, the size of the team and what you need. The demo is free; bring your department list and a typical day of requests, including buggy runs, and we will show how they flow through TaskLoop.
